Who we are

Rack1 Networks provides managed web hosting services. This policy explains what personal information we collect, why we collect it, and what you can do about it. For anything privacy-related, contact hello@rack1.net.

This policy covers information we hold as a controller, which is primarily information about our customers. Information that you collect from visitors to sites you host with us is yours to control; for that data we act as a processor on your behalf, and you are responsible for your own privacy notice.

What we collect

• Account information: name, email address, billing address, company name and contact details you give us when you sign up
• Billing information: payment records and invoices. Card details are handled by our payment processors; we do not store full card numbers
• Service data: domains, DNS records, mailbox addresses and configuration associated with your account
• Technical logs: IP addresses, request logs, mail logs and error logs generated while operating the platform and investigating problems or abuse
• Support correspondence: the emails and messages you send us
• Website analytics: aggregate, non-identifying information about how this website is used

Why we use it

• To provide, maintain and support your hosting service (our contract with you)
• To take payment and keep accounting records (contract and legal obligation)
• To secure the platform, investigate abuse and prevent fraud (our legitimate interests)
• To contact you about your service: maintenance, incidents, expiries, renewals and material changes to our terms
• To comply with legal obligations, including lawful requests from competent authorities

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Who we share it with

We share information only where it's necessary to run the service:

• Infrastructure and network partners who provide the data centre and connectivity our platform runs on
• Payment processors who handle billing
• Domain registries and registrars where you register a domain through us, as required by registry rules
• Certificate authorities for issuing SSL certificates
• Competent authorities where we are legally required to disclose information

How long we keep it

• Account and service data: for as long as you are a customer, and for a reasonable period afterwards
• Billing and invoice records: as long as required by tax and accounting law
• Technical logs: typically a short rolling window, longer where retained for an active abuse or security investigation
• Hosting content and backups: deleted after account cancellation, subject to the backup retention published on your plan

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to request deletion, to object to or restrict certain processing, and to receive a copy in a portable format. You can also complain to your local data protection authority.

Cookies on this website

This website is deliberately light on tracking. We use only what's necessary to make the site work and to understand aggregate usage. We do not use advertising cookies and we do not share browsing data with advertising networks.

Cookies used by websites hosted on our platform are set by those websites and are the responsibility of their owners.

How we protect it

We apply appropriate technical and organisational measures to protect personal information, including encryption in transit, access controls, monitoring and regular patching. No system is perfectly secure, but we take this seriously and we design the platform accordingly.

International transfers

Our hosting infrastructure is currently located in the United States. If you are outside the US, your information will be transferred to and processed there, with appropriate safeguards in place. A United Kingdom region is coming soon for customers who need data residency closer to home.

Changes to this policy

We may update this policy from time to time. Changes are posted here with a revised date, and material changes are notified to customers by email.
